Who We Need
The Import & Export Logistics Coordinator is responsible for end-to-end operational support of international shipments. This role ensures accurate shipment creation, timely documentation, proactive coordination with carriers and partners, and clear communication with internal and external stakeholders to keep shipments moving smoothly and in compliance with SOPs.
What You'll Do:
- Shipment Creation & Data Management
- Create, update, and maintain import and export shipments in the Transportation Management System (TMS).
- Accurately enter shipment details including routing, charges, dates, milestones, and service requirements.
- Ensure all shipment data is complete, accurate, and validated before progressing to the next stage.
- Attach, index, and properly label all shipment-related documents in the system.
- Documentation Management
- Prepare, validate, upload, and manage required shipping documents, including but not limited to:
- MAWB / HAWB
- Bill of Lading (BL)
- Shipping Instructions (SI)
- Pre-alerts and arrival notices
- Verify document completeness and accuracy based on SOPs and client requirements.
- Proactively request missing or incorrect documentation via email and follow up as needed.
- Prepare, validate, upload, and manage required shipping documents, including but not limited to:
- Carrier & Partner Coordination
- Request bookings and confirm schedules with carriers, agents, and overseas partners.
- Obtain and verify routing confirmations, cut-off times, sailing/flight schedules, and consolidation details.
- Follow up on pending actions, confirmations, or missing information.
- Update the TMS with confirmed and verified details in a timely manner.
- Track & Trace & Milestone Management
- Monitor shipment progress using carrier portals, tracking tools, and internal systems.
- Update shipment milestones promptly and accurately.
- Identify and flag delays, discrepancies, or missing milestones.
- Communicate updates, exceptions, or risks to internal teams and escalate per SOP when required.
- Exception Handling
- Identify incorrect, missing, or inconsistent shipment information.
- Perform corrective actions based on SOPs and documented workflows.
- Escalate unresolved or complex issues to the Team Lead (TL) or Customer Success Manager (CSM).
- Log exceptions, root causes, and resolutions for visibility and continuous improvement.
- Email & Communication Management
- Manage operational inboxes and process emails using approved templates and SOPs.
- Respond clearly, professionally, and promptly to internal and external stakeholders.
- Route non-standard or urgent requests to the appropriate internal contact.
- Maintain communication quality, accuracy, and response time standards at all times.
What You Need:
- At least 2 years of proven, hands-on experience managing end-to-end import and export operations, including booking, documentation, tracking, exception handling, and final delivery.
- Strong working knowledge of air and/or ocean freight operations, including SOP-driven workflows and milestone management.
- Demonstrated expertise in preparing, reviewing, and validating shipping documents such as MAWB/HAWB, Bill of Lading (BL), Shipping Instructions (SI), pre-alerts, and arrival notices.
- Experienced in coordinating directly with carriers, agents, and overseas partners with minimal supervision.
- Confident in independently identifying issues, resolving exceptions, and escalating only when necessary.
- Advanced understanding of Incoterms, routing, cut-off times, consolidations, and carrier schedules.
- Excellent written and verbal communication skills, with the ability to communicate clearly, professionally, and proactively with internal teams and external partners.
- Highly detail-oriented with a strong track record of data accuracy in TMS or similar logistics systems.
- Able to manage multiple active shipments simultaneously in a fast-paced, deadline-driven environment.
- This role is designed for an experienced logistics professional who can independently manage end-to-end import and export operations.
